Jobs

Jobs are the central Feature of MoverBase.  Once you create a Job you can assign the Clients, Staff, Mover Rate, Trucks, Inventory and Supplies that you have already set up and MoverBase will help you manage your Job Schedule and Costs.

To get started:

  1. Make sure you have set up your Clients, Mover Rate, Trucks, Inventory and Supplies.
  2. Select Jobs in the Main Menu and select New Job
  3. Complete the fields in the Job form and select Create Job

MoverBase can help you calculate and track your job estimates with an hourly rate or flat fee.  Any of these calculations can be overridden in the final estimate you send to your client.

Make sure to complete the following fields to calculate job estimates

Company Setup:
These fields are applied across all jobs
  1. Mover Rate
  2. Truck Rates (can add as many truck rates as needed)
  3. Supply Costs (can add as many supplies as needed)
Job Add or Edit View:
These fields are specific to each job
  1. Select Truck Rate
  2. Select Number of Movers
  3. Select Supplies
  4. Select Rate Type: Hourly or Flat Rate
  5. Select Fee: leave blank to use calculated hourly rate, or enter your own hourly or flat rate

1. Hourly Estimate Calculated:
If you are estimating jobs based on an hourly estimate, MoverBase uses the following calculation:

a) MoverBase first calculates the hourly fee

Mover Rate x Number of Movers + Truck Rate = Hourly Fee

b) then calculates the fee for the time estimated and add supplies

Hourly Fee x Hours + Supplies = Job Estimate

2. Overriding the Hourly Estimate Calculation
When you are creating or editing a job, you can override the calculated hourly fee by simply entering your own rate into the “Fee” in the Estimate section.  Moverbase will use this hourly fee to calculate the job estimate based on the move duration, travel time and supplies.

3. Flat rate estimate
If you want to give a client a flat rate estimate instead of hourly, you can control this in the Estimate section of the Job Add or Job Edit view.  Select “Flat Rate” in the Pay Type field, and enter the amount in the Fee field.

Staff availability and job scheduling is a powerful feature of the MoverBase system.  This allows you to manage multiple staff schedules and ensures that only available movers are assigned to upcoming jobs.  Once assigned, Movers can log in and view their own schedules and have all the information they need to be prepared for their assigned jobs.

If a Mover is available on the Job date they can be assigned to the moving crew or as an estimator.  Other users can be assigned to Estimate a Job if they are available on the Estimate Date.  You can view and select from a list of available movers in the Job Create or Job Edit view once you have selected a move date.

For new Jobs:

  1. Select New Job from the Home view or the Job Section
  2. Set a date for the Job
  3. In the Movers section (section 5 in the shortcut link), set the number of the crew and select from a list of available Movers to the right.
  4. In the Estimate section (section 6 in the shortcut link), set the date for the estimate and select from a list of available Estimators in the dropdown list.

For current Jobs:

  1. Select the Job from the Job or Schedule Section, or from the Home view if the Job is scheduled in the next two days.
  2. Select Edit
  3. In the Movers section (section 5 in the shortcut link), set the number of the crew and select from a list of available Movers to the right.
  4. In the Estimate section (section 6 in the shortcut link), set the date for the estimate and select from a list of available Estimators in the dropdown list.

MoverBase provides multiple ways to track and access Jobs once they are created:

  • Home view: Jobs and Movers for the current and following day display in the dashboard
  • Client section:  Job displays in the Job History for the Client
  • Jobs section list view
  • Staff section: Job displays in the Availability view and the Job History view for the assigned Staff.
  • Schedule: Job displays in the calendar and can be viewed by Movers by 3pm the previous day.

Note:  Movers can view their availability schedule two weeks out, but will only be able to view their assigned jobs for the upcoming day after 3pm the previous day.  This allows dispatchers and estimators to make final confirmations for jobs before they appear on the Movers’ schedules.  Editors and Admin users can view all Jobs at any time.

You can create and manage an unlimited number of jobs during your free trial of MoverBase.  After that your account comes with a set number of jobs per month and a low fee per job for any additional jobs you create in that month.

  1. Enter the basic Job Information
  2. Enter or select the pick up address
  3. Enter or select the drop off address
  4. Schedule a Truck for the move
  5. Assign a moving crew
  6. Estimate the cost for the Job, or schedule an Estimator for an on-site Estimate
  7. Select your moving Supplies
  8. Confirm the Job

Step 1: Job Information

  • All fields in this section are required to create or save a job.
  • A client must be entered into the system in order to be selected for a job.
  • The date and time fields ensure that only available movers are scheduled for a job

Step 2:  Pick Up Address

  • You can use the current client address on record or enter a new address
  • If there are multiple pick up locations, select Add PU to enter more addresses

Step 3:  Drop Off Address

  • You can use the current client address on record or enter a new address
  • If there are multiple drop off locations, select Add DO to enter more addresses

Step 4:  Schedule a Truck

  • Once you select a truck, the hourly fee of the truck is displayed to the right.
  • Administrators can add or edit the list of truck rates in the Company Setup section

Step 5:  Assign a Moving Crew

  • Only Mover users can be assigned to a moving crew
  • The list of available Movers for that day is based on the date you set in Section 1 Job Information and the availability schedule of each Mover
  • The number you entered in Number of Men must match the number of movers you select for the crew.  If they do not match your job status will indicate that the crew is not ready.
  • A Foreman and a Driver must be chosen from the crew you selected.  If these fields are empty your job status will indicate that the job is not ready.

Step 6: Estimate

  • You can create the estimate in this view, or schedule an estimate for a future date.
  • MoverBase can calculate job estimates for you based on information you complete about the job and rates you set for movers and trucks.  Or you can override these calculations and set your own hourly and flat rates.  See How are Job Estimates calculated? for more help on calculating job estimates.
  • Add the inventory of items to be moved in the Estimate section.  MoverBase uses the job inventory selected here to track the total cubic square feet of a move.  Knowing the total cubic square feet of a move can help you select the right truck, the number of movers you will need to assign and estimate the duration of the job.

Step 8:  Confirm the Job

  • MoverBase allows you to track whether a Job has actually been confirmed with a client once it is created, and how the confirmation was made.
  • Job Confirmation does not affect how the Job is displayed in various views throughout the system.  An unconfirmed Job will still display in a Mover’s schedule.
